Running a Corporate Offsite at a Farmhouse: What to Check

Farmhouses are cheaper and better for team offsites than hotel conference rooms — if you check the right things. Power, connectivity, catering and capacity.
A farmhouse offsite costs a fraction of a hotel conference package and produces a noticeably better day, for the obvious reason: people relax faster in a garden than in a windowless room with a projector.
It also fails in ways a hotel does not, and the failures are all logistical rather than atmospheric. What follows is the checklist that matters, roughly in order of how likely each is to sink the day.
1. Power, and the backup
This is the one that ends offsites. A farmhouse on the edge of a city is on a different grid reality from a hotel in it, and cuts happen. Ask two questions. Is there a generator or inverter backup — several of our listings state this explicitly. And, critically, does the backup run the air conditioning? On many properties it does not: the backup keeps lights and fans going, and the ACs go off. In September, in a room with thirty people, that is the difference between a session and an evacuation to the lawn. If the answer is no, plan your indoor sessions for the morning and put the afternoon outside.

2. Connectivity
Most properties list Wi-Fi. What that means in practice ranges from a solid connection to a single router covering one room. If any part of your day involves a video call, a live demo, or thirty people on a shared document, ask specifically:
- Where does the Wi-Fi actually reach? Bedrooms and the far end of a lawn often are not covered.
- What is the mobile signal like on the property, and on which networks? This varies enormously between the Moinabad belt near Hyderabad, the Noida farmhouse strip, and a property in the Karjat hills.
The safe assumption for a farmhouse offsite is that you will have enough connectivity for messages and not enough for a broadcast. Design the agenda accordingly, which most teams find is an improvement.
3. A room that works for a session
Look for a large living hall or an indoor party hall rather than assuming the living room will do. Some properties have a genuine hall — {P(344,'Rupani Dhani in Gurugram')} lists an indoor party hall across a three-acre property, and {P(316,'Silver Stream Farm in Titwala')} has a fully furnished living space alongside six bedrooms.
Then check for a TV you can plug into. A 76-inch screen, which {P(213,'Lunar Cricket in Moinabad')} has, is a better presentation surface than most projectors in daylight.

4. Food, and who is providing it
The three arrangements again, and for a corporate booking the distinction is sharper because you cannot ask thirty colleagues to sort themselves out:
- Properties where you may use the kitchen — fine if you are catering in.
- Properties where outside food and caterers are permitted — the most flexible, and the most common.
- Properties with in-house catering and no outside food — simplest to run, least flexible on dietary requirements. Confirm the veg/non-veg position early, since several properties are vegetarian-only.
5. Something to actually do
The half of an offsite that people remember is not the session. Properties with real activity infrastructure are worth seeking out: a cricket net, table tennis, foosball, a pool table, a badminton court, a barbecue setup.

These are the exceptions rather than the rule, and they book out on weekends — which is a reason to run the offsite midweek.
6. The unglamorous three
- Parking. Thirty people is a lot of cars, or one bus that needs somewhere to turn around. Ask about access for a larger vehicle.
- Washrooms relative to headcount. A property with four bedrooms and four attached washrooms handles fifteen people comfortably and forty poorly.
- The invoice. If you need a GST invoice for reimbursement, establish that at the point of booking rather than at check-out.

Book midweek
Everything about a corporate booking argues for a weekday. It is substantially cheaper — the weekend premium in this category runs from 25% to 100% — the properties with the best facilities are actually available, and the destination is quieter. A Tuesday offsite in Moinabad, Noida or Lonavala is a different and better experience from a Saturday one, at roughly two-thirds the price. There is very rarely a good reason to spend a team's weekend on it.

Work the total out for your actual headcount before comparing these. Above roughly twenty guests the per-person charge reorders the list more often than not.
Good places to start: large-group properties in Hyderabad, Delhi NCR, Lonavala and Thane. For a shorter drive from Mumbai, Karjat and Palghar both have properties sized for twenty-five to thirty.

Designing the day around what a farmhouse is good at
The common mistake is importing a hotel agenda into a garden. It does not transfer, and the result is a day that would have been better in a conference room.
What works instead:
- Sessions in the morning, outdoors after lunch. Attention is highest before midday and the weather is best. Fighting that costs you the afternoon.
- One long session, not five short ones. Transitions are what a garden handles badly — no bells, no room changes, people scattered.
- Deliberate unstructured time. The half of an off-site people remember is not the session. A cricket net, a pool table, a barbecue or simply three hours with nothing scheduled does more for a team than another slide.
- Food as the anchor. A long lunch outdoors is the single best thing about this format. Build the day around it rather than squeezing it.
- An explicit end time. Announced at the start, so people can plan their journeys back.

The reimbursement and paperwork side
Worth handling at the point of booking rather than at the end of the month. Establish whether you need a GST invoice, and confirm the property can issue one, before you pay the advance. Not every owner is set up for it, and discovering that afterwards is an awkward conversation with your finance team rather than with the property. Get the total in writing, itemised: slot rate, per-person charge and the headcount it assumes, platform fee, and anything chargeable separately such as the sound system or additional cleaning. Corporate approvals are given against a number, and a number that moves is a problem even when the movement was always disclosed. Treat the security deposit as its own line. It is refundable, it is usually cash, and it is collected at check-in — which means somebody has to carry it and somebody has to be responsible for getting it back. On a company booking that person should not be whoever happens to arrive first. Finally, confirm the cancellation terms. Corporate dates move more than personal ones, and the difference between a non-refundable advance and a notice-period scale is worth knowing before the date shifts rather than after. Two smaller things that repeatedly cause friction on company bookings. Confirm whether the property accepts a bank transfer or requires a card payment, because some do not have a mechanism for the former. And get the caretaker's number, not just the owner's — on the day itself, the person who can actually open a gate or find a switch is the one on site.
